Team Services Planning and Administration Coordinator - New Zealand

We are looking for someone to lead and strengthen the team in charge of organising the biggest women’s sporting event in the world: the FIFA Women’s World Cup Australia & New Zealand 2023™.

To ensure the successful operational delivery of the ninth edition of this competition, we have set up a local events team. Its aim is to improve the experience of over 1.1 billion people watching the FIFA Women’s World Cup™, by delivering innovative solutions across all operational areas.

Job responsibilities

Working under the guidance of the Team Services Senior Manager – New Zealand, the Team Services Planning and Administration Coordinator will organise internal operations and be responsible for all administration matters within the department.

Key requirements will be to establish and maintain efficient working relationships within the department and across other functional areas, proactive communication and sharing of information, systematic work processes and diligent record keeping, and the provision of any other administrative support required by Team Services colleagues.

 

Job duties

The Team Services Planning and Administration Coordinator shall be based in the FWWC 2023 Pty Ltd Headquarters in Auckland and under the supervision of the Team Services Senior Manager be responsible for:

  • Providing administrative and planning support for Team Services across operational concepts, policies, and procedures
  • Supporting the interactions between Functional Areas (FAs) with regards to the provision of services for all Participating Teams and Referees
  • Coordinate procedures and provide assistance to Participating Teams and Referees on immigration, customs, Ministry of Health and biosecurity clearance matters
  • Coordinating the “Family and Friends” project within Team Services, organising required services with all FIFA/FWWC 2023 and other stakeholders (Host City, additional facilities representatives, etc.)
  • Support the overall workforce planning and preparation process, including the recruitment process for Team Liaison Officers (TLOs) for Participating Teams  
  • Leading the overall Rate Card project within Team Services, coordinating the delivery of all services to be provided to teams via the rate card system
  • Assisting with the preparation of readiness exercises and training material for Tournament-time staff and volunteers, in close cooperation with Team Services colleagues and the Project Management team
  • Assisting with the preparations for any Team Base Camps (TBCs) and Team Facilities inspection visits
  • Supporting the planning and delivery of Team and Referee related events, such as the Team Seminar, Team and Referee Workshops, and other Tournament related events
  • Representing Team Services at Project planning meetings and other relevant activities, as required
  • Supporting the Team Services members with all administration, IT, HR and other corporate-related matters
  • Representing Team Services during Event-time as and where required

 

Qualifications & experience

The successful candidate will have relevant experience in events or sports competition business, along with an adequate knowledge of international football.

 

Skills

The position requires a person to be an excellent communicator with strong planning, organisational and administrative skills with an ability to work closely and collaboratively with others, but also be self-motivated and able to work independently. The successful candidate will have exceptional attention to detail and be able to consistently deliver at a high standard.

The successful candidate will have a capacity to make decisions utilising problem-solving skills and sound judgement, be able to cope in an international, demanding and rapidly changing environment and be able to adapt and work well with people of other cultures and backgrounds.

Being fluent in English (oral and written) is essential, having knowledge of other languages will be highly regarded. Strong IT skills, including MS Office (Word, Excel, PowerPoint and Teams) is an advantage.

Additional requirements:

  • Must hold a current and valid Driver’s Licence
  • Must hold or be able to obtain clearance with the relevant Police and Children’s Worker Safety checks
