Coordinator, Workforce Operations

THE POSITION
Reporting organizationally to the Manager, Workforce & Recruitment, the Coordinator, Workforce Operations will help serve Workforce, Recruitment, and Human Resources efforts for the FIFA World Cup 26™ that for the first time ever, is hosting 48 teams and 1,200+ players across 3 countries and 16 venues. This role will be responsible for providing comprehensive recruitment administrative support, Human Resources support, and assist in managing workforce operations, including the smooth coordination of onboarding tasks and activities.
The main responsibilities of the Coordinator, Workforce Operations for the FIFA World Cup 26™ include:
- Providing comprehensive administrative support to the Workforce, Recruitment, and Human Resources teams assisting with various tasks and activities to ensure smooth functioning of the FIFA World Cup 26™.
- Supporting Recruitment Processes: Assisting with the recruitment process by scheduling interviews, preparing interview materials, and sometimes participating in interviews to assess candidates' fit for specific roles.
- Responding to Staff Inquiries: Acting as a first point of contact for employees' questions regarding their schedules, time off, or general HR policies.
- Benefits Coordination and Administration: Act as a resource and first point of contact for employees with their benefit questions and matters.
- Data Entry and Record Keeping: Updating HR databases with new employee information, changes in employment status, and tracking staff training and certifications.
- Ensuring Compliance: Keeping up to date with labour laws and regulations to ensure that scheduling practices comply with all legal requirements.
- Collaborating with cross-functional teams and stakeholders to facilitate effective communication and coordination of Workforce Operations training sessions and onboarding activities.
- Preparing for Meetings: Organizing and preparing materials for meetings related to workforce planning, HR policies, or departmental needs.
- Reporting: Generating reports on staffing levels, absenteeism, lateness, and other workforce metrics for review by management.
- Monitoring Attendance and Timekeeping: Checking employee attendance records, managing time-off requests, and ensuring accurate timekeeping for payroll purposes.
- Updating Schedules: Adjusting work schedules to accommodate absences, shift swaps, or unexpected demand increases. This may involve reallocating resources or calling in additional staff.
- Communication with Department Heads: Coordinating with department managers to understand daily operational needs, upcoming projects, and any specific staffing requirements.
- Problem-Solving: Addressing and resolving any immediate issues that arise related to workforce management, such as conflicts in scheduling, unexpected absences, or resource shortages.
- Training Coordination: Assisting in coordinating training sessions for employees, including logistics, tracking attendance, and ensuring training materials are prepared.
- Other duties as assigned.
- This role requires you to be onsite 5 days a week (Monday-Friday) at our Toronto Office located in Liberty Village.
- Travel within Canada, to the US and/or Mexico may be required to reflect the business needs of the department (meetings, workshops, site visits, other Events, etc.).

Education & Qualifications
- Bachelor’s Degree (or equivalent) in Human Resources, or related field
Work Experience
- Minimum 1 year of experience in an HR administrative support function.
- Strong communication skills – oral and written.
- Experience using an applicant tracking system.
- Strong analytical skills.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively, ensuring smooth operations and timely completion of duties in a dynamic work setting.
- Demonstratable ability to manage multiple projects concurrently and under pressure.
- Team player with a strong customer-service focus, comfortable across all levels of communication, ability to remain flexible, and a desire to go the extra mile.
Languages
- Fluent in English. French proficiency is a plus.
Technology
- Proficient in MS Office (Excel, Word, PowerPoint, Visio & Project) and planning software and online collaboration tools.
